An AI Use Policy is one element of practical AI governance. Depending on how AI is used, additional assessment, documentation, literacy, transparency, oversight or other controls may be appropriate.

What should a company AI policy include?

It should define approved tools and uses, prohibited inputs, verification rules, human oversight, intellectual property and confidentiality expectations, incident reporting, ownership and consequences for misuse.

Make the safe option the easy option.

Employees usually use AI to save time, not to create a compliance problem. A policy should therefore give them a practical route to approved use rather than relying on vague instructions to be careful.

The document should reflect the tools and information actually used by the business. Generic language is unlikely to answer whether a candidate CV, customer contract or confidential report may be entered into a particular system. Employee AI rules should give clear examples that connect acceptable AI use to real work.

Cover both inputs and outputs.

Input rules should address personal data, confidential information, credentials, unpublished commercial information and supplier conditions. Output rules should explain verification, attribution, review and when AI must not determine an important outcome.

That depends on the organisation and available approved tools. A blanket ban may be difficult to enforce. Clear approved alternatives and specific prohibited inputs are usually more practical.

03Does an AI policy satisfy every AI Act requirement?+

No. A policy is one governance control. Depending on the system and use, inventory, risk assessment, transparency, supplier, oversight and technical obligations may also apply.

04How often should the policy be reviewed?+

Review it when approved tools, suppliers, use cases or regulatory requirements materially change, and at a regular interval appropriate to the organisation.
