An AI Use Policy is one element of practical AI governance. Depending on how AI is used, additional assessment, documentation, literacy, transparency, oversight or other controls may be appropriate.

It should define approved tools and uses, prohibited inputs, verification rules, human oversight, intellectual property and confidentiality expectations, incident reporting, ownership and consequences for misuse.
Employees usually use AI to save time, not to create a compliance problem. A policy should therefore give them a practical route to approved use rather than relying on vague instructions to be careful.
The document should reflect the tools and information actually used by the business. Generic language is unlikely to answer whether a candidate CV, customer contract or confidential report may be entered into a particular system. Employee AI rules should give clear examples that connect acceptable AI use to real work.
Input rules should address personal data, confidential information, credentials, unpublished commercial information and supplier conditions. Output rules should explain verification, attribution, review and when AI must not determine an important outcome.
